General Announcements

Changes at Lindell Library

Dear Faculty and Staff Colleagues,

I write to inform you of some exciting changes that will take place in Lindell Library over the next 12 to 18 months. Chief among these is that Lindell will be migrating to a new online catalog in spring 2017 - exact timetable TBD - and terminating its membership in the CLIC consortium effective June 30, 2017. To those of you who are regular CLIC users, please know that you will still be able to borrow books, journal articles, and any other materials you need for your teaching and research - you will simply be using a different interface to locate and request those materials, and the materials will be coming from a much broader array of suppliers.

The decision to withdraw from CLIC and implement a new online catalog was prompted by two separate but ultimately related factors. First, the cost of CLIC membership has increased significantly in recent years. Lindell Library's CLIC dues have risen from $66,000 in FY14 to $92,000 in FY16 - and are projected to reach $100,000 by FY18. There are additional costs related to our CLIC membership which put the real cost at roughly $125,000 per year, an enormous percentage of our library's operating budget. At the same time, the number of items that we borrow from our CLIC partners has declined each of the past 5 years or so and reached an all-time low in FY15 of 2,913 items. Quite simply, the financial cost of CLIC membership now outweighs the benefit to our campus, and is so prohibitive as to prevent Lindell Library from providing other resources and services that our users need.

The second factor that contributed to this decision is the strategic alliance that Luther Seminary and Augsburg College currently are exploring. In order to reap maximum benefit for the two libraries involved, it is necessary to streamline operations by forming joint work teams, but this in turn requires that staff at both libraries perform their work using the same online catalog, or library services platform (LSP). Currently, the two libraries use different LSPs, and Augsburg's choice of LSP is dictated by CLIC. Thus, in order for the two libraries to operate on the same LSP, either Luther would have to join CLIC and adopt CLIC's designated system, or Augsburg would have to withdraw from CLIC and migrate to the system used at Luther's library (OCLC WMS). I conducted a careful cost analysis of both scenarios and concluded that the former saves Augsburg $0, while the latter option saves Augsburg $65,000 annually. Moreover, operating on the same LSP will allow the two libraries to form shared work teams, streamline operations, and offer new services that directly benefit users.

By replacing our current LSP, CLICnet, with a new one known as OCLC WMS, members of the Augsburg community will have access to 375 million titles held by libraries across the country and around the globe. I believe the benefits of leaving CLIC/CLICnet for Luther/WMS will provide our users with access to a much wider universe of resources at a considerably lower cost, and enable the library to reinvest some of the savings - both money and staffing - into new services and resources for the Augsburg community.

I will share more details of our ongoing work in developoing shared services with the Luther Seminary Library and the migration to WMS as they become available. In the meantime, I am happy to meet with you to answer any questions you may have. You can reach me at holleric@augsburg.edu or x1603, or just stop by my office in Lindell Library. My door is always open and I love to talk about libraries!

Mary

Update on Augsburg-Luther Seminary Alliance

The following is from President Paul Pribbenow and Luther Seminary President Robin Steinke:

Since the approval this past spring by Augsburg’s and Luther Seminary’s governing boards, we have made progress in our work to explore shared administrative services between our two institutions. As announced in May, we are initially testing the concept in Information Technology and Library Services. Teams from both of these areas have identified technology platforms and organizational structures that provide operational benefits to both institutions, and are actively working to begin implementing these shared plans.

As these projects move forward, we are naming a cross-functional team, with membership from both institutions, to support the ongoing work of guiding the development of the alliance between Luther Seminary and Augsburg College. This executive committee will be chaired by Rebecca John, Augsburg College vice president for Marketing and Communication, and Michael Morrow, Luther Seminary vice president for Finance and Administration, both of whom will serve as interim co-chairs of this group through the end of December 2016.

Over the next six months, Michael and Rebecca together will be responsible for:
--Supporting the ongoing work of the IT and library project teams and developing a report for the October board meetings documenting the progress made in these test areas, including quantifying the potential benefit to be gained from the work.
--Facilitating conversations, as needed, to explore additional collaboration opportunities. For example, our Campus Ministry and disability services teams are currently engaged in conversations in their respective areas to explore opportunities.
--Aligning the work that these specific teams make with the overall vision of developing a shared services entity that can scale to support the needs of multiple institutions over time.

Supporting this work will be an alliance executive committee, which comprises the following individuals:
--Leif Anderson, Augsburg College vice president and chief strategy officer
--Carrie Carroll, Luther Seminary vice president for Enrollment Services, dean of students, and chief diversity officer
--Crystal Comer, Augsburg College registrar
--Keith Gilsdorf: Augsburg College interim dean of Professional Studies
--Rebecca John, Augsburg College vice president for Marketing and Communications
--Andy Keck, Luther Seminary director for Library Services and Institutional Effectiveness
--Michael Morrow, Luther Seminary vice president for Finance and Administration
--Arnita Walls, Luther Seminary director for Human Resources

We are pleased with the progress that has been made over the past two months and are grateful for the leadership and collaboration of the teams currently engaged in this work. As expected, we are learning a great deal from the efforts underway in IT and Library Services, and we look forward to providing further updates as we approach the start of the 2016-17 academic year.

Faithfully yours,

President Paul C. Pribbenow, Augsburg College
President Robin Steinke, Luther Seminary
