Grade Submission Changes Take Effect

The grade options that are available to faculty members when submitting grades changed this week, affecting those submitting grades for WEC Winter Trimester and beyond. Faculty will be able to choose the traditional numeric grade options and pass/no-pass options. However, faculty will no longer be able to select I, X, or W from the pull-down menu. Each of these special situations will be processed as indicated below.

Incomplete (I) Grades
Faculty members will be asked to submit the grade that the student has earned at the end of the semester, even if the student has requested an incomplete. Once the student has submitted the incomplete paperwork, the grade will automatically be replaced by an I grade. At the end of the time allotted for the incomplete, the faculty member can simply send an Email to Mary Stimpson (stimpson@augsburg.edu) in the registrar's office to indicate the grade the student earned. At the end of the incomplete deadline, the faculty member should either submit the original grade or an updated grade based on the work the student has completed.

Extension (X) Grades
Faculty members have given X grades to allow an extension for internships, independent studies or directed studies that last for more than one term. If a faculty member wants to allow an extension for that type of activity, the faculty member can Email Mary Stimpson (stimpson@augsburg.edu) in the registrar's office to indicate the grade should be an X.

Withdrawal (W)
Students must follow the normal academic procedures to withdraw from a course and receive a W. The only exception is the use of the W grade in I-term. I-term W grades will be submitted to Mary Stimpson (stimpson@augsburg.edu) in the registrar's office.

Deadline for Lilly Camp Stipend - March 31

Just a friendly reminder, if you are a returning student who is considering working at a summer camp, you are welcome to apply for a Lilly Leadership Stipend of $500! Application Deadline: Wednesday, March 31

Augsburg is offering stipends to students who work in summer outdoor ministry settings. The stipends are provided through the "Exploring Our Gifts" Office sponsored by the Lilly Foundation. Stipends are offered in order to increase the number of Augsburg students serving in a summer camp leadership position. The project grows out of the need to promote the vocational development of future religious leaders. Leadership experiences in outdoor ministries play a significant and oftentimes decisive role in developing ordained and lay religious leaders. At least 75% of ELCA pastors and associates in ministry have noted that summer camp leadership was a significant factor in their vocational development.

Applications are available in the Campus Ministry Office. Applications and questions should be directed to:
Lonna Field, Foss 110, Campus Box 120, Phone: x1467, Email: fieldl@augsburg.edu

Online Timecards need approvals-Effective March 21

Important changes for all students, staff and faculty currently using Web Time Entry for timesheets

We have been on the new online Web Time Entry system for 6 pay periods and have solved most of the problems students and biweekly employees have experienced using the system.

Thus far, employees have been paid for their hours whether or not their timecards were approved. Now that employees have been using the system, it is time to begin requiring managers and employees to approve hours before they can be paid. Back in the "old days" of paper timesheets, we did not pay for hours on timesheets that were not signed off by employees and supervisors. It is time to reinforce that policy again.

Effective this current pay period of 03/21/10 – 4/3/10 (for payday Friday, 4/9/10), any time sheet not approved by the employee AND the manager will not be paid until approved. Any time sheets approved after the 12noon deadline on Tuesday will be added to the next payroll 2 weeks later. Always ensure you are approving the correct pay period. If you are approving the timesheet on Monday, you will need to make sure you are approving the "previous pay period".

Timecards with no hours also need to be approved by both employee and manager. If the employee is no longer working in the position, the manager needs to send an e-mail to hr@augsburg.edu to let us know.

To check if the timecard has been approved, click on the Sign-offs & Approvals tab in the lower left section of the timecard. This lists all sign-offs and approvals and when they approved them. If there is no Sign-offs & Approvals tab, there have been no approvals.

Managers can check for approval as above, or by clicking on the Timekeeping tab, then Pay Period Close. Once the list of employees appears, check the appropriate columns for check marks. If no check mark, it hasn't been done.

Please remember that you must approve your own timecard. You cannot have someone else sign in for you and sign off on your timecard. This is considered fraud, the same as if someone else forged your signature on a written timecard. If you are having difficulty, please contact us 612-330-1058 or hr@augsburg.edu.

Feature on Pohtilla in Star-Tribune

Star-Tribune feature:
http://www.startribune.com/sports/89480962.html

There's a feature on Jill Pohtilla, who recently announced her resignation as Augsburg's women's hockey coach, in today's (Tuesday 3/30) Minneapolis Star-Tribune. The feature, by columnist Rachel Blount, profiles Pohtilla, who served as coach for the first 15 seasons of Augsburg's women's hockey program.

In her 15 seasons, Pohtilla compiled a 171-177-30 record, standing third among NCAA Division III women's hockey coaches in career victories and 20th among all collegiate women's hockey coaches in wins.

In 1995, Pohtilla was named head coach of the Auggies, establishing the program as the first collegiate varsity women's hockey program in the Midwest. Under her leadership, Augsburg won Minnesota Intercollegiate Athletic Conference regular-season titles in 1998-99 and 1999-2000, and the conference playoff championship in 1999-2000. Augsburg qualified for the MIAC postseason playoffs four times under Pohtilla.

Under her leadership, eight players earned women's hockey All-American honors in program history. A total of 150 players have competed as a part of the Augsburg women's hockey program in its first 15 seasons.
