Chosen Name Policy For Faculty and Staff

Augsburg University recognizes that some of its members use first names other than their legal first names to identify themselves. Because of this, the University allows faculty and staff employees to use a first name different than the legal first name on certain university records.  If you are an Augsburg student employee the student policy applies.

Augsburg reserves the right to remove a chosen first name if it contains inappropriate or offensive language, or if the name is being used for misrepresentation.  Any review would be conducted by Human Resources.

Click here to request to have a chosen first name instead of a legal first name reflected within specific university records. The request goes to IT to implement the change.  It takes approximately 5 business days for the change to be implemented.

Please note that changing your chosen name for certain records does not change your legal name with Augsburg University.  Below is a listing of all of the areas in which your chosen name will appear (once changed) and areas in which your legal name will still appear:

  • Moodle
  • Employee ID card (Provided you obtain a new one from the Enrollment Center)
  • Alumni office records*
  • Official correspondence from the university
  • Parking
  • Paychecks and paystubs
  • Purchasing card
  • Records and Registration (faculty)
  • Tax- or benefit-related documents and records
  • Time entry system (Kronos)

* These records will include chosen name field, but the legal name will also be visible.

Employees who have had their name legally changed should complete an address & name change form found on the HR moodle site.  Documentation is required.  Your new legal name will appear on ALL college documentation listed above.
